Info For Tenants

This information is provided to assist you in becoming a tenant and what is required to help make the process as easy as possible. As a family run company we understand the importance of transparency.


Choosing a property

Register your interest in finding your new rental property with us by either calling us on:  01752 875075, email lettings@hindheadproperty.com or visit us in person at your local office.

We are very thorough when identifying what your requirements are and we will talk you through our selection of homes that might be suitable to you. We will also keep you posted on any new properties that become available.

Viewing Process

Hindhead lettings team will do their best to offer viewings that fit around your free time. With our office open Monday to Friday 8.30am – 6pm, Saturday 9am – 4pm and viewings by request on Sundays we are always here to answer any questions you may have or to advise you where appropriate.

If the properties we have on offer have current tenants who are moving out, we would just need to be respectful of their requirements in offering viewing times.

Once you have chosen your new home

When you have found a suitable home, an online application form for tenancy will be required. We will help you to complete this form, stating any special conditions regarding your offer. We will then pass this to the landlord for their consideration.

Once we have obtained their consent to proceed with your application, we request your referencing fee. Referencing will then commence.

*The length of this process is completely depends on your previous landlords/current employers and how quick they are to respond to our questions.

Once your Referencing is complete

When you complete and pass referencing, we will contact you to make arrangements for the tenancy signing and a move in date, which is convenient for all parties.

We will send you a confirmation email and also inform you of the documentation that you will need to bring with you.

Keys can only be released from the tenancy start date. Here is what needs to be in place before we can release keys to you:

Deposit

To be paid to us by either a card transaction / bank transfer /or exact cash in the office. We will then transfer this deposit to be held in the deposit Protection Scheme. (please be aware that there is an extra £150 required on top of the standard deposit for any pets that have been authorised within the tenancy). All funds must e cleared in the account before the move in day.

First Months Rent

To be paid to us by either a card transaction / bank transfer /or exact cash in the office.

Standing Order Setup

to be set up for the following month’s rent, we can accept a screen shot from internet banking or a receipt from you Bank proving the set up. The bank details and date for the standing order will be provided to you through the email. (NOTE: these details may be different to the first month rent if you will be renting from an external Landlord)


Identification

We will need two types of Identification, a photo ID and a Proof of Address (i.e. utility bill etc). Also as from the 1st of February, documentation will be required for your ‘right to rent’. A UK passport is the most common form of identification for this, however, we can inform you of the additional documentation we may need.

Accident Damage Insurance

As a minimum, you will be required to take out accidental damage insurance, this will cover the internal part of the property should it become damaged during your tenancy. However, you are more than welcome to increase this cover to contents insurance, should you wish to include your own personal belongings in the cover. You will need to bring a copy of your policy with you for our records. Signing

The signing of the tenancy agreement takes place in one of our three offices: 18 Mannamead Road, 2E Pemros Road or 31 College Road Keyham.This process takes around 30 minutes and we will be happy to answer any questions or queries you may have.

It is highly recommended that you read the Tenancy agreement before you come into the office so you fully understand the contract you will be committing to.

Inventory

If the property is fully managed or it is requested by the landlord we will have conducted an Inventory on the property you will be renting. The Inventory is an in depth record of the condition of the property at the start of the Tenancy.  You will be required to return the property in the same condition when vacating the property at the end of your tenancy.

We will provide you with a copy. You will have 7 days to dispute anything on the inventory and bring to our attention.

Check In

If the property is fully managed by Hindhead Property, we will accompany you to the property after your tenancy signing. There we will walk you around the property, ensuring you are aware of the location of the meters, test the alarms and show you where the stop cock is. We check your hot water is on and ensure you know how the boiler works.

Once we are happy that everything is in order we will leave you to settle in to your new home.
